Teleconferencing Terms

Below are common terms used to describe some of the technologies and characteristics related to audio and web conferencing services. Being familiar with these terms can help you to select which teleconferencing solution best fits your needs for improving growth and competitiveness.



Advanced Encryption Standard (AES) - In cryptography, the Advanced Encryption Standard (AES), also known as Rijndael, is a block cipher adopted as an encryption standard by the U.S. government. It has been analyzed extensively and is now used worldwide. As of 2006, AES is one of the most popular algorithms used in symmetric key cryptography.

Audio Conference - A virtual meeting held over the phone between two or more individuals that are not at the same location.

Call Recording - A conferencing feature that allows you to record the conference call for access and playback at a later time.

Data Conferencing - Refers to a communication session among two or more participants sharing computer data in real time. Interaction and presentation devices such as a screen, keyboard, mouse, camera, etc. can be shared or controlled by another participant's computer. It is used to distinguish from video conferencing and audio conferencing. The data can include screen, documents, graphics, drawings and applications that can be seen, annotated or manipulated by participants.

Dial In - Refers to conference participants dialing in to a specific number and using a pre-designated PIN to join a conference call.

Dial Out - A conferencing feature that allows the conference Moderator to dial an outside call confidentially during a conference. This feature may be used to connect additional participants to a conference, or to communicate outside the conference.

Digital Duplex - Refers to fully digital conferencing technology that supports clarity in sound quality and permits multiple voice communication simultaneously.

eMeeting - (See videoconference)

Interactive Conferencing - Refers to conferencing communication exchanges where conference participants can both listen and speak to each other. This is a common feature in Reservation-less Audio Conferencing.

Meeting - In a meeting, two or more people come together for the purpose of discussing a (usually) predetermined topic such as business or community event planning, often in a formal setting. In addition to coming together physically (in real life, face to face), communication lines and equipment can also be set up to have a discussion between people at different locations, e.g. a conference call or an e-meeting.

Operated Assisted Conferencing - Ideal for calls in which an operator is needed to help manage the conference. Participants dial a pre-assigned number and are placed into the conference by an operator. Additional charge applies for Questions and Answer (Q&A) exchanges.

Question and Answer (Q&A) - A conferencing feature that supports question and answer exchanges between participants and the conference moderator or operator. Options exist to support both verbal and keyed-in Q&A exchanges.

Reservation-less Audio Conferencing - Permits holding an audio conference without having to pre-schedule or secure operator assistance. Conferencing takes place simply by dialing a designated number and entering a PIN.

Reserved Audio Conferencing - Ideal for large calls where conference ports are reserved and guaranteed to be available for the expected number of participants on the call. Participants join the conference by dialing a pre-assigned number and entering a passcode. Limited operator assistance is available by pressing *0 during the conference.

Video Conference - A set of interactive telecommunication technologies which allow two or more locations to interact via two-way video and audio transmissions simultaneously. It has also been called visual collaboration and is a type of groupware. It differs from videophone in that it is designed to serve a conference rather than individuals.

Web Conferencing - A tool used to conduct live or synchronous meetings or presentations over the Internet. In a web conference, each participant sits at his or her own computer, and is connected to other participants via the Internet. This can be either a downloaded application on each of the attendee's computers or a web-based application where the attendees will simply enter a "URL" or website meeting address to enter the live meeting or conference.

Webinar - A type of web conference that tends to be mostly one-way, from the speaker to the audience with limited audience interaction, such as in a Webcast, which is transmission of information in one direction only, like watching a concert on the Internet. A Webinar however, can be very collaborative, and include polling and question & answer sessions to allow full participation between the audience and the presenter.

Whiteboarding - A term used to describe the placement of shared files on an on-screen "shared notebook" or "whiteboard." Videoconferencing and data conferencing software often includes tools that let the user mark up the electronic whiteboard much as one would with a traditional wall-mounted board. A general property of this type of software is to allow more than one person to work on the image at any one time, with the two versions being kept in sync with one another in near real time.
